Changing copiers? Improve your workflow too

If you are looking to replace your office copier, take it as an opportunity to improve your office workflow and processes. Willie Lim, solutions marketing manager, Fuji Xerox Singapore, said that the old mindset of “we’re just replacing the old copier with a new one” must change to become “this is an opportunity for improvements”.

“Typically, when copying machines are due for replacement, companies go through the call for quotes, evaluation of hardware, and decision-making processes,” said Lim.

“However, the new generation of multi-function devices are no more just copiers; they have a lot more functions and are essentially the company’s document portal now.” Lim explains that this means that multifunction devices (MFDs) should act as receivers of documents from various information sources, as well as senders of documents to various destinations.

And to make a better purchasing decision, Lim suggested forming a task team with members from various departments in the company. They should then identify problems and document-related issues, strategise and identify areas to improve, before engaging a vendor to look for a solution.
